General Information

Where – and when – is Refill: AP Conference 2023?
The conference begins on Tuesday, May 16 at 6:00 pm and concludes Thursday, May 18 at approximately 9:00 pm.  

All lodging, meals and general sessions will be at the Cheyenne Mountain Resort (CMR) in Colorado Springs CO. Visit their website to learn more about the hotel.  

What if I cannot attend AP Conference?
Please email your Regional Director and events@bsfinternational.org 
How can I make changes to my registration form?
Using the same device used when you initially registered, return to the registration form to make your edits. Be sure and click the “Submit” button at the conclusion of the survey to save your changes.  
What does BSF pay for?
BSF pays for: 

  • A round-trip economy airline ticket between your home and Colorado Springs, CO or BSF will reimburse you for mileage if you live less than 200 miles from Colorado Springs and choose to drive.  
  • Double occupancy lodging for the nights of event.  
  • Breakfast, lunch and dinner daily for the days of the event.  
  • International travelers only: BSF will pay for two days/nights of lodging and meals prior to the event start date if traveling directly from home to Colorado Springs.  
  • International travelers only: BSF will pay for health insurance only during your AP Conference attendance, as well as COVID testing in Colorado Springs at the conclusion of the event (if required to depart Colorado Springs). Please wait for instructions from the BSF Events Team before purchasing health insurance.  
  • BSF does not pay for costs of quarantine, i.e. hotel, food, transportation, COVID testing, etc. 
    Are face masks required?
    Face masks are not required while attending the AP Conference  
    Will there be social distancing?
    Social distancing will not be possible due to the number of attendees and the size of the venue.
    Do I have to be vaccinated to attend?
    Vaccination is not required to attend Refill: AP Conference 2023 except as required by the U.S. Government and/or airlines for travel on public transportation and airplanes. Please check your country’s requirements before booking tickets.  
    Will I be asked to do a daily health screening?
    No, there are no current plans to ask all attendees to complete a personal daily health self-check,  

    Cancellations

    What if I am sick before departing home for Refill: AP Conference 2023?
    • Please cancel your travel plans if you feel unwell or have COVID symptoms on the day you are scheduled to depart for Colorado Springs.  
    • You are responsible for contacting the airline(s) or travel agency to cancel your flights.  
    • You are responsible for any cancellation fees in the event you do not notify events@bsfinternational.org of your need to cancel 24 hours prior to departure day.

    Lodging

    Who books and pays for my lodging?
    BSF books and pays for your hotel room for the nights of the Conference if you room with another BSF event attendee.  
    Will I have a roommate?
    Yes, please plan to share a hotel room with another attendee. AP are encouraged to room with their teammate. AP spouses, may of course, room together.  
    Can my spouse and/or children — who are not attending the conference — be my roommate?
    No. BSF has booked a certain number of hotel rooms based on two AP rooming together. If your spouse and/or children visit Colorado Springs while you are attending the event you will need to book your own hotel room at your personal expense. Please remember that the daily schedule is full – from breakfast until approximately 8:30 or 9:00 pm each night.  
    How can I add or change my roommate request (or make other changes to the registration website)?

    When can I start booking airline tickets?
    You may begin booking your tickets now. Please read the travel parameters, general travel policy, and your location-specific travel policy before booking your tickets.     I want to visit friends or family before/after Refill: AP Conference 2023. How do I handle this when booking airline tickets?
    • Email events@bsfinternational.org before contacting booking your tickets. Notify the events team of your proposed plans.  
    • The events team will notify the travel agency of the revised arrival/departure dates.  
    • BSF pays for the equivalent of the round-trip economy airline ticket between your home and Colorado Springs. You pay for the increased cost of the airline ticket related to your personal travel.  
    • Read the General Travel Policy for All Travelers and the travel policy supplement for the country in which you reside for additional information.  
      May I fly in/out of the Denver airport?
      Yes, but you will be personally responsible for ground transportation between Denver and Colorado Springs. Please keep in mind the start / end times of the Conference, as well as the travel time required between the two cities when booking your airline tickets.  
      How do I book airline tickets? Who pays for the tickets?

      Will BSF provide shuttle service between the airport and the hotel?
      Yes, BSF will provide shuttle service between the Colorado Springs airport and Cheyenne Mountain Resort only. Ground transportation is not provided between the Denver airport and Cheyenne Mountain Resort.  
      May I drive to the AP Conference?
      Yes. BSF will reimburse you for mileage if you live less than 200 miles from Colorado Springs and choose to drive. Please request reimbursement on your Expense Report. See the General Travel Policy for All Travelers for more information about mileage reimbursement.

      May I book my tickets before my visa is approved?
      No, please do not book tickets until you have an approved visa.  
      How can I obtain a visa invitation letter to attach to my visa application?
      Email events@bsfinternational.org 

      • Include “Visa Invitation Letter Request” in the subject line.  
      • Include your name, class staff position, and class name in the email.  
      • Look for an email within 48 hours from HelloSign with instructions on how to complete and then access the visa invitation letter.  
        Can you provide me with the information needed to complete my visa application?

        No, quarantine costs are a personal expense.
