HQ Announcement 27 February

Excitement is building around Revelation: The Hope! Headquarters will send an announcement to all BSF class members about next year’s study on 27 February. To learn more about registration see the Need to Know section. For additional resources to share Revelation: The Hope, download this year’s media kit (available in four languages.)

Praise

Praise God for the way He is preparing our leaders and members through the study of His Word. 

Praise God for the diligent work of AP and Class Staff for planning and preparing classes for Revelation. 

Prayer Requests

Many classes need new and additional staff positions for Revelation. Pray for God to give AP and Class Staff wisdom and discernment as they collaborate to select and vet candidates.

Pray for every Class Staff to develop a succession plan, regardless of immediate need. 

Pray for the safety of our children in every class. 

Pray for God to stretch the faith of every class member as they trust Him to enable them to selflessly serve as Jesus did wherever He calls them. 

Pray for future leaders to see the joy and dedication of current leaders, so that they want to join leadership as a place to further strengthen their faith. 

Pray that God would use BSF to instill a daily habit of growing in truth and drawing closer to God.

Looking Forward to Revelation

BSF Online Registration Opens 1 June

While members in MyBSF go through a re-registration process each study year, cooperating with their Group Leader and Class Staff, BSF Online members and leaders have a continuous registration. Current members can stay with their group or switch groups, and their registration in BSF Online continues until they remove themselves.

Leaders’ (OTs, AOTs, or OGLs) registration is also continuous until they step out of leadership. When a leader steps out, their role is changed to Online Member, and they are free to join a BSF Online group or join a local class or satellite group. Note: If an OGL is not continuing for Revelation, THEY SHOULD make their group private until a replacement leader is identified. 

If you invite someone to join BSF Online for Revelation, they have two options: 

  1. Join a group now and finish the John study in that group. 
  2. Wait to join until 1 June when all our groups have completed the John study and are ready to welcome new members for Revelation.  

Registration in MyBSF Now Open

The process of transitioning to a new study year will be like last year’s with some enhanced functionality. Class members, children, and leaders are automatically registered for the next study year in MyBSF.

With Registration pages now open, potential members can select which study to join when searching on Find a Group. When responding to these join requests, confirm their intent to join either the current or upcoming study.

New Functionality

Placement Information for TL Report 

This report has been enhanced to display any placed, waitlisted, or inactive children, it also displays any unregistered children that may have been added to a class member’s profile. This will be helpful for class staff and leaders to see who may have added a child to their profile but may have missed requesting the child to be registered in the class.

Move Groups 

With the Move Groups feature in MyBSF, you are now able to move children’s classrooms to a class of a different gender. This will be useful for Men’s and Women’s classes in a shared location. The Move Groups instructions in the MyBSF Reference Guide will be updated soon. 

Join Requests 

The Join Requests page now features filters that will allow you the option to search by first name, last name, or email address. At the bottom of the Join Requests page, you will see a new button that will take you directly to the Contact Us report. Request to Join and Contact Us are the two ways a potential member can access your class from Find a Group on the public website, it will be helpful to access both options from the Join Requests page. 

Manage Calendars 

When editing a meeting calendar, you will only be able to select dates from within a study’s calendar year. For example, when editing a calendar for the John study, you are only able to select dates from 1 July 2023 through 30 June 2024. This will be helpful when the opportunity to create Revelation calendars occurs, in which you will select dates from 1 July 2024 through 30 June 2025. 

Attendance Reports Update

We are excited to announce updates to attendance reports in MyBSF, which will enhance clarity across attendance records. You will notice new symbols in the reports. These symbols are introduced to represent various attendance statuses more clearly:

  • Check Mark (check mark symbol): Indicates that attendance was taken and adult or child was present.
  • Zero (0): Signifies an absence.
  • Blank ( ): Means the lesson has not yet occurred.
  • Dash (-): Denotes that an adult or student was not a member of the group or classroom at the time attendance was taken.

These changes aim to provide a more intuitive understanding of attendance records and should improve the ability to support member care more effectively.

Please reach out to Leader Support with questions and thank you for your diligence to record attendance as accurately as possible in MyBSF.

Individual Attendance History Report

NEW REPORT

To enhance the support and tracking of each adult participant in your class, there is a new report accessible to all class management roles, including Class Staff, ALs, and ACSs. This report, found under the Reports tab in the Class Reports/Attendance section, allows for a comprehensive view of adult attendance history across various studies.

By entering the first name, last name, and/or email address partially or fully, and selecting “View Report,” you can access detailed records of attendance for active participants.

This report also provides a calculated attendance percentage for each study, with historical data available for John (2023-2024), PPKD (2022-2023), and a portion of Matthew (your class will have access to the full Matthew study year [2021-2022] if previous attendance was manually entered after the release of MyBSF). If your class has multiple satellites, the meeting details will also appear on this report.

While it is not possible to input attendance data for past studies, please record any offline attendance data for the John study into MyBSF promptly. Use ALs for this task to ensure that this vital information is shared with current and future Class Staff, Area Personnel, and the headquarters team. 

To record attendance for a group member in the John study: 

  • Ensure everyone is assigned to a discussion group in MyBSF, following the Add/Remove Members to a Discussion Group instruction in the MyBSF Reference Guide.  
  • Adjust the Placement Date on an adult’s summary page to reflect their actual discussion group placement date. (Go to Class/Class Composition/Manage Members > locate the member and click View/View next to the member’s name > On the summary page click the pencil icon next to the Placement Date > edit the date > select Save.)  
  • Once a member is placed into a group, record their attendance following the Take Attendance instructions in the MyBSF Reference Guide.  

This proactive approach will help maintain accurate and comprehensive attendance records for all class members. 

Note: This report is meant to be run for one adult at a time, so make sure the search criteria is selective enough to find a single class member. 

Leader or Staff Permanently Assigned to a Discussion Group? 

Do you have a leader in your class or a staff member that is stuck in a discussion group in your MyBSF database? This can happen when the leader or staff are assigned their role before being removed from the discussion group.

    • To fix this issue for a leader, remove the leader role from that adult, remove the adult from their discussion group, then add the leader role back.
    • To fix this issue for someone who is in a Class Staff role, contact Leader Support.  
    • To prevent this from happening in the future, make sure you remove a group member from their discussion group before assigning the leader role or requesting a staff role through the Change Request.

    STL Foundations Course Update

    The Strategic Framework section of the STL Foundations Course will be updated to reflect changes regarding the Big Idea. New STLs who begin serving during the study of John can start their training now. STLs who will begin serving in Revelation are advised to wait to start their training until mid-April, when the updated course is available.

    Two four-and-half hour session “blocks” will be offered twice. Each Session A block and each Session B block are identical.

    Shared Leadership, a next layer training course, is available to all OTs, DOTs, AOTs and DAOTs in MyBSF Learning as of February 15, 2024. This course is designed to increase collaboration for everyone in those roles to share leadership responsibilities efficiently and effectively.

    Update to Child Registration (I 104)

    MyBSF Child Registration (parental permission) online and the Child Registration (I 104) form (paper and Foxit eSign) have been updated to change the wording from “Special Accommodations/Health Needs” to “Health Needs/Allergies.”

    This allows for the parent/legal guardian to indicate items such as peanut/nut allergy to prompt use of any required forms and creation of an Action Plan.

    Please discontinue the use of Child Registration (I 104) forms previously printed from the Resource Library and begin immediate use of the revised Child Registration (I 104) that is now available in the Resource Library. 

    DOLM HC Remuneration

    As mentioned in the December bulletin, there is a new form to standardize intake and tracking of requests for remuneration and specific facility expenses (but which is not to be used to assist with authorized expenses or for assistance paying the online giving portion of the HC contribution).

    ‘My Group’ Settings

    Please share with Online Group Leaders: OGLs have the privilege of setting up their own groups and managing the group day/time and language. OGLs name their group, set the capacity, and can decide if their group is public or private.

    What guidance is there for naming a group?   

    Consider that your group will be seen by people from all over the world so remove any reference to day, time, or location.

    Remove reference to the study or the current leader’s name as this can be confusing when your group continues for the next study. Use enduring and welcoming words like “Women in the Word,” “Truth Seekers,” “Abiding Faith,” or “Teach Me, O Lord.” 

    When targeting a certain audience, include that in the name—for example, “Men’s Military Background” or “Irish Women International.” Note: The common interest filter will go away after the 22 February release. See the January bulletin for more information. 

    Optional: If your group is in a language other than English, it may help to list the language in the title. This is not required as you can designate your language and members can search by language. 

    How many should be in a group? 

    Recommended capacity is 15-18 members—enough people for a vibrant discussion but not so many that you cannot know and shepherd them well. Some OGLs have set their capacity at 20 over the study break to accommodate a few more people knowing that some will drop out during the study year. If you currently have a group that is more than 20, talk to your OT about raising up a leader and seeding a new group! 

    Should my group be private (by invitation) or public (anyone can join)? 

    We hope your group will be public for anyone to join! To prepare for growth for the Revelation study, open available spaces so that anyone who wants to study with BSF can do so. In some cases, there may be a good reason to make your group private. Before making this decision, consult with your OT and AOTs.

    Most importantly, pray! Pray to hear how God will work in you and through you as you commit the management of all your BSF Online My Group settings to Him.

    What is happening at BSF this month?

    Giving Pages Update on bsfinternational.org 

    There has been a recent update to the BSF public website giving options under the ‘Support Specific Ministries’ section. The Revelation Global Summit Giving Announcement included in the January bulletin and posted in an alert for AP/Class Staff remains under ‘leader events’ on the new page. A new giving opportunity to give toward the Building Fund for BSF Headquarters is also available.
